What you can do in the admin panel, and what each choice leads to.
About this manual. It is written for you who write and publish on the site, and assumes nothing about what you already know.
Start with "Your first article" — ten steps from signing in to a published article. The rest of the manual is for looking things up: find the chapter for the tab you are in. If there is a message on the screen you do not understand, look it up under "When something goes wrong". What is done in the terminal is under "For whoever owns the site".
Your first article
Use a computer or a tablet. On a phone held upright the panel is not shown.
- Sign in. Click "Sign in" at the top right, then "Sign in with Google", and choose your account. At the top of the page there is now a black bar with "Editorial". Click "Admin panel" in the bar.
- Start a new article. Click the "New article" tab. The form is empty, Status is Draft, and Date is today.
- Fill in the essentials. Type a "Title". Choose "Category" and "Author" in the drop-downs. If they are empty, you can leave them and fill them in later. Write two or three sentences in "Front page standfirst" — that is the text readers see on the front page.
- Write the text in the "Body text" field. Title and body text are the only things that must be filled in.
- Add an image. Under "Main image", click "Upload image" and choose a file.
- Save. Click "Save draft". At the top of the form it says "Saved as draft". Readers do not see the article yet.
- See the article. Click "Save and view". The article is shown as readers will see it, marked "Not published".
- Publish. Click "Publish" on the article page. The mark disappears, and the article is out. If you see no Publish button, you are a staff writer — ask the editor to publish.
- Find it again. Click "Admin panel" in the black bar, then the "Articles" tab. The newest article is at the top. The search field finds the rest.
- See it on the front page. Go to the front page. The article is already there — the front page fills itself with the newest articles.
How the system fits together
Godord is a website and a panel. Readers see the website. When you sign in, you also get the panel, at the same address.
Everything you write is stored in a database at Google. There is no file to save. When the panel says something is saved, it is saved. If a save does not go through, the panel says so.
Images, PDFs, audio and film are in a separate store, not in the database. The backup from the panel therefore has all the text, but not the files.
The tabs in the panel:
| Tab | What you do here |
|---|---|
| Articles | Find, open, publish and delete articles. |
| New article | Write and edit an article. |
| Categories & tags | Create and change the categories and tags the articles are sorted by. |
| Front page | Choose which articles go where on the front page. |
| Maintenance | Find articles that lack a category, image, standfirst or date, that appear twice, or that have an author name not in the register. |
| Tools | Backup and checks, sitemap, the editorial team, look, visitor count, language, and the site's name and privacy details. |
| Guestbook | See the readers who have signed up, and send them email. |
| Contributors | The register of writers, with biography and their own author page. |
| Image catalogue | All the images, with alt text, caption, credit and location. |
| File library | Upload PDF, audio and film, and get links to them. |
Tools also has the check of the share card.
The staff writer sees fewer tabs. See "The roles" under "Signing in and out".
Signing in and out
Signing in:
- Click "Sign in" at the top right of the site.
- Click "Sign in with Google".
- Choose your Google account in the window that opens.
If you belong to the editorial team, there is now a black bar at the top with "Editorial". Click "Admin panel" in the bar to get to the panel.
Godord has no passwords. You sign in with your Google account.
Readers can also sign in with a link by email: they type their address under "Sign in with Google" and click "Send me a link". If the link does not arrive, it is often in the spam folder. The editorial team always signs in with Google — an address with a role that signs in by link gets the readers' bar. If the field is not there, signing in by link is not switched on — tell whoever owns the site.
If there is a light bar without "Admin panel", you are signed in as a reader. Your account then has no role in the editorial team.
On a phone "Sign in" is hidden. Add ?login=true to the end of the site's address, and the sign-in window opens. Feel free to bookmark the address.
Signing out: click "Sign out" in the bar at the top or in the panel header.
"Manual" at the top of the panel opens this manual.
The roles
What you can do in the panel is decided by your role.
- Staff writer writes and edits drafts, and works in the Image catalogue and the File library — but cannot publish or change anything that is published.
- Editor does everything editorial: publishes, manages the categories and the contributors, manages the front page, sees the guestbook, and can change everything that is published.
- Administrator can in addition change the site's name and colophon and add people to the editorial team.
The staff writer's panel is smaller. The staff writer does not see the tabs Categories & tags and Contributors, nor Front page, nor Guestbook, and in Tools only the checks that change nothing. On a published article only "View" is shown, and the status choice has only Draft and Archived.
If you try to save something your role does not allow, nothing happens to the article, and you get the message "Your account does not have access to this." See "When something goes wrong".
The admin panel on phone and tablet
The panel is not shown on a phone held upright.
- Phone: turn it sideways, and you get the whole panel. If you turn it back in the middle of a job, you lose nothing.
- Tablet: the panel is shown both ways.
On a phone held upright there is instead a line about turning the phone. "← To the site" and "Sign out" remain. The "Admin panel" link in the bar and the "Edit" and "Publish" buttons on the site are also hidden.
If the panel behaves oddly on the phone after the site has been updated, close the tab completely and open it again.
Writing and editing an article
Everything in this chapter is done in the "New article" tab. You use it both for new articles and when you edit an article that exists.
Title
The title is the article's heading. It stands on the front page, in the lists and at the top of the article. An article must have a title and body text to be saved.
Category and subcategory
Category is the main division. It decides which category page the article is on.
- Choose the category in the drop-down. It is empty until you choose.
- Categories are created and changed in the Categories & tags tab.
- Articles without a category are found under Maintenance → Category.
Subcategory is a finer division under the category, and is optional. It stands as the small text above the title on the front-page cards. If you leave the field empty, the category stands there.
Does the drop-down say "(unknown)"? Then the article has a category or subcategory that has been deleted. The value stays until you choose a new one.
Date
The date is chosen in the calendar. A new article gets today's date. You can choose any date you like, also back in time.
The date decides the order: newest at the top, on the front page and in the lists. Articles with the same date stand with the last written at the top. Editing an article does not move it.
- To bring an old article forward, give it a newer date.
- An article with a date in the future is shown at once. The date is not a scheduled publication.
- The front-page slots choose among the 150 newest articles. An article with an old date cannot be put in a slot.
Author
Choose the author in the drop-down. The names come from the Contributors tab. Each author has their own author page with all their articles.
Does it say "(not in the register)" after the name? Then the author is not entered in Contributors. The article and the author page work as usual, but the page has no biography. The name stays when you save. Maintenance → Authors shows all names that are not in the register.
The two standfirsts
The article has two standfirst fields.
- Front page standfirst stands in the card on the front page and in the lists. It is meant to make the reader click. It does not stand in the article itself.
- Article standfirst stands at the top of the article, above the body text. It is optional.
You can use one of them or both. Articles without a front page standfirst are found under Maintenance → Completeness.
The buttons Normal, Italic, Semi-bold and Italic + semi-bold decide how the article standfirst looks. Semi-bold is chosen from the start. Both fields have a link button: select a word, press the button and paste the address. The link is shown in the front page card and at the top of the article, and opens in a new tab.
Large cards without an image on the front page show the front page standfirst and below it an excerpt of the body text. The excerpt may include text from fact boxes and pull quotes. If you do not want a quote there, move it further down in the text. Links in the body text are carried into the excerpt and can be clicked on the front page; if a link is missing there, save the article again in the editor.
Main image
The main image stands at the top of the article and in the card on the front page. An article does not need a main image. Articles without a main image are found under Maintenance → Images.
- "Upload image" takes an image from your machine and puts it in the Image catalogue. The caption and the credit are cleared.
- "Choose from library" lets you choose an image from the Image catalogue. The caption and the credit are filled in from the catalogue. If you change them here, it applies only to this article.
- "Paste image URL…" takes the address of an image that is somewhere else on the web. The caption and the credit are not filled in. If there is text from an earlier image, you must correct it yourself.
- "Remove" takes the image off the article. The caption and the credit are cleared, and the crop goes back to "Centre".
The caption stands in italics below the image. The credit stands to the right below the image, and on the front-page card.
Image crop
When an image has to be cropped to fit the frame, you choose which part is kept. Below the main image are nine buttons with arrows, from "Top left" to "Bottom right". "Centre" is chosen from the start.
The choice applies at the top of the article and in the cards on the front page. If you see no difference, the image is not cropped there, and then the choice does nothing.
The crop belongs to the article. If you use the same image in two articles, they can each have their own crop.
Drop cap
"Drop cap" makes the first letter of the body text large. It is off from the start, and is switched on per article. It suits longer texts best.
The body text
The toolbar above the text field has bold, italic, underline, small text, subheading, quote, numbered list and bullet list, link, and remove formatting. ↶ and ↷ undo and redo. So do Cmd/Ctrl+Z and Cmd/Ctrl+Shift+Z.
- Enter gives a new paragraph.
- Shift+Enter gives a new line without space, for example in a poem. It also works in fact boxes and pull quotes.
⬜ inserts an image in the text. 📎 uploads a file to the File library, or chooses one that is there, and inserts the link where the cursor is.
Blocks in the text
Below the text field are the buttons "+ Fact box" and "+ Pull quote". "+ Gallery" is there too. An image in the text you insert with ⬜ in the toolbar.
How to insert a block:
- Put the cursor where the block is to stand in the text.
- Click the button. A short label, like
[FB-1]or[PQ-1], is inserted where the cursor is. - Fill in the card that appears below the text field.
The label shows where the block stands when the article is shown. You move the block by cutting and pasting the label.
Fact box is a grey box with its own title, for background and facts. A fact box with only a title can be used as a divider in a long text.
Pull quote is a quotation in large italics with a line above and below.
Fact box and pull quote can stand in "Full width", to the "Left" or to the "Right". On the left and right the text wraps around.
Image in the text has a caption and a credit, filled in from the Image catalogue. If you change them, it applies only to this article. The placements are "Full width", "Left, text wraps", "Right, text wraps", "Narrow, centred", "Wide, full-bleed", "Extra wide, full-bleed", "Small left" and "Small right".
Gallery puts a whole gallery into the text. Choose the gallery in the list in the card; drafts are marked. The reader sees the gallery's first image with title and number of images, and a click opens the gallery. If you choose no gallery, the block is left out. If you change the gallery later, the article does not follow. Choose the gallery again in the block to update it.
The reader can see the images larger. A click on the main image or on an image in the text shows the article's images in large format, with caption and credit. The arrow keys, swiping and Esc work. A gallery in the text opens its own gallery. An older image in the text that was not inserted from the Image catalogue does not open. Insert it again from the catalogue.
Tags
Tags cut across the categories. An article in the category "Reportage" can have the tags "Italy" and "Railways". Each tag has its own page on the site, and the tags stand at the bottom of the article.
- Type in the tag field to find a tag. If it does not exist, you can create it there.
- Click × to take a tag off the article.
Upper and lower case count as the same, so "Italy" and "italy" are the same tag.
The search field in Articles does not find articles by tag. Use the tag's page on the site.
Saving
The buttons stand both at the top and at the bottom of the form. The result of the save stands next to the button you pressed.
| The article is | The buttons |
|---|---|
| Draft | "Clear", "Save and view", "Save draft" |
| Any other status | "Clear", "To article view", "Save article" |
- "Save and view" saves and shows the article. If the save does not go through, you stay in the form.
- "To article view" shows the article as it is saved. If you have changes that are not saved, it asks you to save first.
- "Clear" empties the form. If you have something that is not saved, it asks first.
When something is not saved
The editor notices everything you change, including formatting and blocks. If you try to clear the form, start a new article or open another article before you have saved, it asks:
- "Cancel" takes you back to your work.
- "OK" discards it.
The publishing choices
These choices decide whether and where an article is shown.
Status
| Status | Readers see |
|---|---|
| Published | The article, everywhere on the site. |
| Draft | Nothing. |
| Archived (set aside) | Nothing. Use it for articles you are done with but do not want to delete. |
| For signed-in readers | Title, standfirst and image. The text is read only by those who are signed in. |
You change the status in the editor or directly in the list in Articles. If you open a draft or an archived article yourself, it says "Not published" at the top.
A signed-out reader who opens an article for signed-in readers sees the button "Sign in to read it" where the text should be. Documents, audio and film the article links to are open to everyone.
Don't show automatically on the front page
Tick "Don't show automatically on the front page" in the editor or on the row in Articles. The article is still published and stands in the categories, the lists and the search, but the front page does not fill it in by itself. If you put the article in a front-page slot yourself, it is shown there all the same.
Notes
"Notes (optional)" is for internal notes. Readers do not see them. The search field in Articles also searches the notes.
The Articles tab
All the articles are here, newest at the top. Each row shows title, category, subcategory, date, author and when the article was last changed.
On the row you can:
- tick "Don't show automatically on the front page"
- change the status
- write notes
- click "View", "Edit" or "Delete"
The search field
The search filters the list as you type. It searches title, category, subcategory, author, notes and status, but not tags.
The search field is cleared when the list is reloaded: when you open the panel, switch to the tab or delete an article.
Deleting an article
- Click "Delete" on the row.
- Answer OK to the question "Delete '…'?".
The article and the text are deleted together. It cannot be undone. If you are going to delete a lot, take a backup in Tools first.
The front page
The front page is built in the "Front page" tab. It has three parts, from the top: top section, bottom section and the category band.
Building and publishing the front page
What you do in the Front page tab is a draft. Readers see nothing until you publish.
- Choose a layout and articles for each section (see below).
- Click "Save and view". You see the front page as it will be, with "Not published" in the banner at the top. The banner stays on the front page only: if you go to the panel or into an article, it is gone, and back when you return to the front page.
- Click "Publish front page" in the banner. Now readers see it.
The buttons at the top of the tab and in the banner:
- "Save draft" saves the draft without showing it.
- "Reset" sets all the slots back to "Automatic". The layouts stay.
- "See the published front page →" shows what readers see now.
- "Edit front page" takes you back to the tab.
From the draft you can click an article to see and edit it.
Slots
Each section has slots. For each slot you choose an article, or leave it on "Automatic". Automatic slots are filled with the newest published articles. An article stands only once on the front page.
- The drop-down shows only published articles, among the 150 newest. An older article must be given a newer date to be chosen.
- If you later set an article in a slot to draft, it is marked "not published, not shown" in the drop-down, and is not shown on the front page.
- An article without an image is shown as text: title, standfirst and an excerpt of the body text.
- In layout 1A the side column fills in with two more titles when the side article lacks an image.
- An article you have chosen for a slot stands where you chose it. Automatic slots and the fill in the side column never take it.
- If you switch to a layout with fewer slots, the choices in the hidden slots stay until you switch back.
- Articles ticked "Don't show automatically on the front page" are not used in automatic slots.
Layouts
Each section has a layout. The layout decides the arrangement and how many slots the section has. Top section:
| Layout | Arrangement | Slots |
|---|---|---|
| 1A | Lead article + side article | 2 |
| 1B | Three equal side articles | 3 |
| 1C | Full-width lead article | 1 |
| 1D | Two equal-sized side articles | 2 |
| 1E | Lead article + three stacked side articles | 4 |
| 1F | Three text articles (no images) | 3 |
Bottom section:
| Layout | Arrangement | Slots |
|---|---|---|
| 2A | Title panel + magazine article | 2 |
| 2B | Two magazine articles | 2 |
| 2C | Three magazine articles | 3 |
| 2D | Full-width magazine article | 1 |
| 2E | Title panel + two magazine articles | 3 |
Layout 1F shows three articles as text, even when they have an image: subcategory, title, front page standfirst and author. If you want more text in the columns, write a longer front page standfirst.
The category band
Below the sections is a band with one section per category, with up to four articles in each. Categories without published articles are not shown.
- Tick the categories that are to stand in the band.
- Arrange them with the arrows. The order also applies to the menu bar at the top of the site, where all the categories stand.
- Click "Save category band".
The category band has no draft. The change is out as soon as you save.
Categories and tags
The tab has two parts, "Categories" and "Tags". You switch between them at the top of the tab.
Categories
- Creating a category: type the name under "New main category" and click "Add".
- Creating a subcategory: type the name in the field "New subcategory…" under the category, and click "Add".
- Renaming a subcategory: click "Rename / merge" on the subcategory and type the new name. All the articles in the category that have it get the new name. If you type the name of another subcategory in the same category, the two are merged.
- Changing the address: the "Address" field decides the link to the category page. If you change it, old links to the page stop working.
- Renaming a category: click "Rename / merge" next to "Delete category" and type the new name. The articles follow, and the address is the same. If you type the name of another category, the two are merged: the articles and the subcategories are moved there, and links to the old category's address stop working.
- Deleting: click "Delete category". The articles stay, without a category.
Articles without a category are found under Maintenance → Category.
A new site has no categories. Create them before you write the first articles.
Upper and lower case count as the same: if "Music" exists, you cannot create "music".
The order in the menu bar and the category band is set in the Front page tab.
Tags
The "Tags" part shows all the tags. You can search, and sort by name or by how much they are used.
- "Rename / merge" gives the tag a new name on all articles that have it. If you choose a name that already exists, the two are merged.
- "Delete" takes the tag off all articles that have it.
You see how many articles are affected before you confirm. Upper and lower case count as the same.
If the tab rejects something, for example an empty name or a name that already exists, what you typed stays in the field, so you can correct it.
Image catalogue
In the Image catalogue tab are all the images on the site. Each image has a card, "Image details", with four fields you fill in: Alt text, Caption, Credit and Location.
At the top of the tab you choose a room: Images and Import, and in Publishing also Galleries and Tag pool. The room you were in is the one shown the next time you open the tab.
If storage is not set up yet, a band at the top of the tab says so. Uploading does not work then — see "Storage and billing" under Tools.
Uploading an image
- Click "Upload" in the Images room.
- Choose the image on your machine.
- "Image details" opens. Fill in the fields while you remember what the image shows.
- Click "Save and close".
The image is now at the top of the list, and you can choose it in the editor straight away.
The image is stored as webp. If it is wider than 2000 pixels, it is made smaller. Animated GIFs and SVGs are uploaded as they are.
The fields
- Alt text is what a screen reader reads out instead of the image. Fill it in first: without it, someone who cannot see the image gets nothing.
- Caption stands below the image in the article.
- Credit is who took or owns the image, for example "Photo: Name".
- Location is where the image was taken.
- Tags are keywords for the image. See "Tags on images".
Date taken and camera are read from the image file when they are there.
When you insert the image in an article, the alt text, caption and credit come with it. If you correct the fields in the catalogue afterwards, the old text stays in articles where the image is already inserted. Insert the image again, or correct the text in the article.
"Save" saves and leaves the card open. "Save and close" closes the card once the save has gone through. "Copy link" copies the image's address.
Finding an image
The search field searches name, alt text, caption, credit, location and tags. Click a row or "Details" to open the card.
Each row shows format, dimensions, file size and date. "Non-WebP only" shows only the images that are not stored as webp, and the counter says how many there are.
Where an image is in use
Under "Used in" on the card it says how many articles use the image, as main image and in body texts, and in which galleries. Click a title to open the article or the gallery.
"Show usage" puts the numbers on each row in the list. Images in use that lack alt text or credit get the mark "no alt" or "no credit".
After "Show usage" comes the button "Unused only". It shows only the images nothing uses. It can be on together with "Non-WebP only".
Deleting an image
"Delete" on the card only works when the image is not in use anywhere. If it is in use, remove it from the articles first — the titles under "Used in" take you there. You are asked before the image is deleted, and the deletion cannot be undone.
Tags on images
Type in the Tags field on the card. The panel suggests tags that exist; a new one you create with "+ Create". Enter chooses the top suggestion, Esc closes the list, and × removes a tag from the image. The tags are saved with "Save".
The images' tags are their own and do not mix with the articles'.
The Tag pool room shows all image tags and how many images have each. Sort by "Most used" or "Name".
- "Rename / merge" gives the tag a new name on all the images. If you choose a name that exists, the two are merged.
- "Delete" takes the tag off all the images.
You see how many images are affected before you confirm. Upper and lower case count as the same. New tags you create on the card, not here.
Galleries
A gallery is a series of images from the catalogue, with its own title and standfirst, shown on a page of its own.
- Open the Galleries room and type a title.
- Leave "Key" empty, and it is made from the title. The key is the gallery's address and can only have a–z, 0–9 and hyphens.
- Click "Create". The gallery is in the list as Draft.
- Click the row. "Gallery details" opens.
- Under "Add from the catalogue" search for the images and click them in.
- Arrange the order with ↑ and ↓, and remove an image with ✕. The field next to each image is the gallery text. If it is empty, the caption from the catalogue is used.
- Write the standfirst.
- Set Status to Published and click "Save".
A published gallery is on the Galleries page, newest first. "Galleries" appears in the menu bar when the first gallery is published. A draft is shown nowhere.
Tick "Featured — in the collection on the front page" to get the gallery on the front page. There the six newest featured ones stand at the bottom.
"Preview saved version" shows the gallery as the reader sees it — what is saved, not changes you have not saved.
"Copy link" copies a link that opens the gallery.
Deleting a gallery. "Delete" removes the gallery, not the images. Before you confirm, you see how many articles have a gallery block that refers to it. If you delete anyway, the block stays in the article, and the reader gets "This gallery is no longer available". Whoever follows a shared link to the gallery lands on the front page with a message.
Images already in the store
If there are images in the image store that are not in the catalogue — for example when a site is moved in — "Import existing images" in the Import room gives each of them a card. Images already in the catalogue are skipped, so you can click "Stop" and run it again later. Nothing is deleted or overwritten.
The button only works once the image store has been prepared for it. The owner does that once, see "Preparing the image store for import" under "For whoever owns the site".
File library
In the File library you upload files that are not images: PDF, audio and film. Each file gets its own reading page with a fixed link, which you can insert in an article.
Everything you upload here can be read by anyone who has the link, also without signing in. Do not put out anything that is to be kept hidden. The File library is for simple attachments that can stand being downloaded. If a film or a recording is to be streamed without download, leave the file at Google Drive, YouTube or Vimeo and register the link instead — see "A file hosted by another service".
If storage is not set up yet, a band at the top of the tab says so. Uploading does not work then — see "Storage and billing" under Tools.
Uploading a file
- Click "Choose file" and choose the file. The file types accepted are listed next to "File". Film should be mp4: a .mov plays on the reading page, but Chrome and Edge cannot open it in its own tab, so "Open the film clip" is not shown for it.
- Title and ID are filled in from the file name. Correct them if you like.
- Click "Upload and register".
Below the form is now the link to the reading page. Click "Copy" and paste it into the article.
The ID is the last part of the link. It can only have a–z, 0–9 and hyphens, and it cannot be changed afterwards. If you choose a different file, title and ID follow the new file. "Clear" empties the form.
From the editor
📎 in the editor's toolbar opens "Upload a file to the file library". Upload a new file as above, or search for one under "Or choose an existing file". "Insert" puts the link into the text where the cursor is.
A file hosted by another service
Below the upload form is "Register a file hosted at Google Drive, YouTube or Vimeo". The file stays with the service and is streamed from there; Godord stores only the link, and the document gets a reading page, a link and "Used in" like any other.
- Paste the sharing link exactly as the service gives it, in "Link".
- Write a title. The ID is derived from it, and can be corrected.
- Click "Register".
Google Drive is the nearest choice, since the rest of the site already lives with Google. The file must be shared with "Anyone with the link" — otherwise the reader gets a Google sign-in page, while you yourself, being signed in, see it fine. So always try the reading page in a private window. If you turn on "Viewers can't download, print or copy" on the file in Drive, the reader gets the player without a download button. A newly uploaded film in Drive needs a few minutes before it can be played.
Links to services other than the three are not accepted. If you delete the document, only the record here is removed; Godord does not touch the file at the service.
The list
Choose "All", "PDF", "Audio", "Film" or "Link" next to "Show:", and search by title in the field above.
Each row has three buttons: "Details", "Copy link" and "Delete".
Click a row or "Details" to open "Document details". There you see the file — audio and film do not start by themselves; for a link, the address and "Open at the source" stand in place of a player — and can correct the title, copy the link and delete. A long recording may take a little while to appear. Under "Used in" are the articles that link to the document; click a title to open the article.
Replacing a file
- Note the ID.
- Delete the document.
- Upload the new file with the same ID.
The links in the articles work as before.
Deleting a file
You can delete a document even if articles link to it. Before you confirm, you see how many articles are affected. The links in them stop working, and the deletion cannot be undone.
The reading page
Whoever follows the link sees the title, a player for audio and film, and a link to the file (not for a .mov film, see "Uploading a file"). If the file is hosted at Google Drive, YouTube or Vimeo, the reader sees a black frame with "Click to play"; only on that click is the player fetched from the service, and a line below says where the file lives. No sign-in is needed. If the document does not exist, it says "Document not found".
Contributors
Contributors is the register of writers. The tab is for the editor and the administrator.
Adding a contributor
- Type the name under "New contributor". It is the name you choose as author in the editor.
- Write a bio if you like. It is shown at the top of the person's author page.
- Leave "Address" empty, or write your own. The address is the last part of the link to the author page,
/forfatter/…. If the field is empty, the address is made from the name. - Click "Add contributor".
Two contributors cannot have the same name or the same address. The panel says so, and nothing is saved.
Correcting bio and address
Click the name in the list "Registered contributors". The row opens with Bio and Address. What you type is saved when you click out of the field, and the row shows "Saving…" and then "Saved!". The mark "no bio" disappears when the bio is saved.
The name cannot be changed. If a person is to be called something else, add a new contributor and delete the old one. The articles keep the old name until you change the author in each of them.
Deleting a contributor
Open the row, click "Delete entry", and confirm. The author page stays as long as the person has articles, but without a bio.
Guestbook
The guestbook is the list of readers who have signed up. For each guest it shows name, email address, first visit and whether the guest wants notifications by email. The tab is for the editor and the administrator.
How a reader gets in
The reader clicks "Sign in" and signs in with Google. The first time, the question "Sign the guestbook" appears, with the name from the Google account filled in and a tick for notifications.
- "Add me" puts the reader in the guestbook.
- "Not now" lets the reader read on while signed in. The question comes again when the site is opened in a new window.
- "Sign out again" signs the reader out.
Signing in gives the reader the text of articles marked "For signed-in readers". Everything else is open to everyone.
If you sign in with an account in the editorial team, you do not get the question, and you do not end up in the guestbook.
The list
At the top it says how many guests the book has, and how many of them want notifications. Guests with notifications are marked "· notification".
- "Correct name" corrects the name a guest has written. Only the name can be corrected; the address comes from the sign-in.
- "Remove" takes the guest out of the guestbook. The guest can sign up again at the next sign-in.
The guest cannot correct the name or leave the guestbook themselves. The privacy statement says the guest should contact the editorial team, and then these two buttons are what you use.
Notifying about an article
- Choose the article under "Notify about an article". The list shows the published ones among the 150 newest articles.
- Click "Create notification email". Your email program opens with the addresses in Bcc, and with subject, standfirst and link filled in.
- Add an image if you like, and send the email yourself.
Only guests who have ticked notifications are included. Godord sends no email on its own.
"Copy notification addresses" copies the addresses, if you would rather paste them in yourself.
What the guest controls
A signed-in guest has "My registration" in the bar at the top. There is what the guestbook has stored, and the notification can be switched off and on. Your list can therefore change without you having done anything.
The privacy statement
The statement is at /personvern. The link is in the sign-in box, in the guestbook form and in "My registration". Data controller, contact address, applicable law and supervisory authority you fill in under Tools, in the same form as the site's name and colophon.
Maintenance
Maintenance shows articles that lack something, or that appear twice. The tab changes nothing itself; you correct the articles in the editor.
At the top are five buttons, one for each view: Category, Authors, Duplicates, Images and Completeness. What should be corrected is in red.
Each article in the list has the status choice and "Edit", which opens the article in the editor.
The views
- Category shows how many articles each category and subcategory has. It also shows articles without a category, articles with a category that does not exist, articles with a subcategory that does not belong to the category, and articles without a subcategory.
- Authors holds the author names in the articles against Contributors. It shows names that are not there, contributors without articles, and articles without an author. A name that is not in Contributors gets an author page, but no bio.
- Duplicates shows articles with the same title. Correct or delete one of them, or leave them if they are meant to be two articles.
- Images shows articles without a main image, arranged by category. Archived articles are not included.
- Completeness shows articles without a front page standfirst or date. Archived articles are not included. An article without a front page standfirst gets no text below the title on the front page.
"↻ Refresh" fetches the articles again. Use it when the panel has been open for a while.
Tools
Tools has cards that apply to the site as a whole. The cards are listed here in the same order as on the screen.
The staff writer sees only the Status mismatch and Share card cards.
Backup
Click "Create backup". The whole database is downloaded as one file: articles, body texts, categories, the site's name and colophon, and the contributors. Also the front-page setup and the image catalogue. Also the file library's catalogue and the galleries.
The button changes nothing. Take a copy before you do anything big, like tidying up many articles at once.
The images are not included. They are in a separate store and are not lost with the database. The files in the File library are not included either, nor the guestbook. The copy cannot recreate the guestbook.
Status mismatch
Click "Check status mismatch". The answer should always be "Status mismatch: none." If an article is listed there, open it in the editor and save it without changing anything. Then it is corrected.
Share card
Until the share card program is set up, shared article addresses show the site's own card. Setting it up is chapter E of the setup guide.
Click "Check the share card". The button checks that a shared link to an article shows the article's own image and title. The answer appears below the button. What each of the five answers means, and what you do, is under "When the share card does not work".
The cards for the administrator
The rest of the cards are marked "The administrator". The editor sees them, but it is the administrator who completes them.
The editorial team, Look, Visitor count, Language and Storage and billing make a line that you copy and run in the terminal. The panel does not run it itself. How to open the terminal in the Godord folder is under "For whoever owns the site".
Sitemap
The line above "Create sitemap" says whether the sitemap that is out on the site is correct. If it is, there is nothing to do. If it is not, follow "Sitemap" under "For whoever owns the site".
The sitemap includes published articles, category pages with articles, and subcategories and tags with at least three articles. Articles for signed-in readers are included too.
The editorial team
Here you add someone to or remove someone from the editorial team. How, and what each role can do, is under "The editorial team" in "For whoever owns the site".
Look — colours and typefaces
- Choose a look: Newspaper, Feminine, Avant-garde, Journal or Masculine. Newspaper is what the site was delivered with, and the card describes each of them in one line.
- Click "Create command", and then "Copy".
- Paste the line into the terminal in the Godord folder, and press Enter. The program shows what it is going to change, and asks before it writes and deploys.
The "Now:" line shows which look the site has. You switch back the same way. A tab that was already open may show the old look until you reload the page.
Visitor count
Godord can count visits with Google Analytics. The count is off when the site is delivered.
- Find the measurement ID in Google Analytics under Admin → Data streams, in the stream for the site. It begins with
G-. - Type it in the field, and choose "Turn the count on" or "Turn the count off".
- Click "Create command", then "Copy", and run the line in the terminal in the Godord folder.
The "Now:" line shows whether the count is on.
When the count is on, the site asks each reader in a strip at the bottom of the page. If the reader says no, the visit is not counted. The editorial team is not asked and not counted. The reader can change their mind with the "Visitor count" link at the top of the page (only on larger screens) or with the "Change" button in the privacy statement. The statement describes the count itself when it is on, and gets today's date.
Language
The site's own texts — buttons, menus, messages, the panel and the privacy statement — can be in a language other than Norwegian. The articles you write are not touched. Godord is delivered with British English, and the code for it is en-GB.
- Type the language code in the field, and choose "Switch to this language" or "Back to Norwegian".
- Click "Create command", then "Copy", and run the line in the terminal in the Godord folder.
The "Now:" line shows which language the site has, and how many texts are translated. After a switch the tabs and buttons in the panel have other names than in this manual. If you have made your own language (chapter F of the setup guide), you type its code. "Manual" in the panel header opens the manual in the chosen language when a translation exists; otherwise it opens the Norwegian one, and the command says so.
Storage and billing
Pictures and files live at Google, in a storage that requires the Blaze billing plan. The plan requires a payment card; the card says what there is to say about the hold, the prepayment and which cards are declined, and what ordinary use costs. The "Now:" line shows whether storage is set up. Until that is done, uploading does not work, and the Image catalogue, the File library and the image picker show a band that points here.
- Open the billing plan at Google, choose Blaze and enter the card.
- Open storage at Google, click "Get started" and choose a location in Europe.
- Click "Copy", and run the line
node oppsett.mjs lagerin the terminal in the Godord folder. It measures storage, writes it into the site and deploys it.
The links in the card point into the site's own project at Google. The panel does not measure storage itself; the line does.
Reader sign-in
Readers can sign in with a link by email, without a Google account. It is switched off until the administrator switches it on at Google, and the card has the two links: the name readers see in the email, and the sign-in method "Email/Password" with "Email link". If "Email/Password" is already listed as Enabled, it is done.
Site name and colophon
The card has six fields and "Save":
- Site name stands at the top of every page and in the tab title. It cannot be empty.
- Colophon stands at the bottom of "About the site". If the field is empty, the page shows the description from the setup.
- Data controller is whoever is responsible for the site. For a company you write the company name as it is registered.
- Contact address for privacy is the email address that requests for access, correction and deletion go to.
- Applicable law is the laws and regulations the privacy falls under, as they are named in your country. It stands at the top of the statement's point 4.
- Supervisory authority is the authority readers can complain to about privacy. It stands in the statement's point 8.
The last four fill in the privacy statement at /personvern. If any of them is empty, the statement shows a notice at the top saying which. What you save is shown at once. If you have started typing in a field, it is not overwritten, not even if you go to another tab and back.
For whoever owns the site
This chapter is for whoever owns the site at Google — the one who set it up, or has been given access to the Firebase project. Everything here is done in Terminal (Mac) or PowerShell (Windows), in the Godord folder on the machine the site was set up from. The setup guide is in the folder dokumentasjon in the Godord folder. The files in the folder carry their design notes (the comments in the code) in Norwegian, by intent — they are part of the product; use a translation tool when you need one.
Opening the terminal in the Godord folder
Mac:
- Open Terminal. It is under Applications → Utilities.
- Type
cdand a space, and drag the Godord folder from Finder into the window. - Press Enter. The folder's name now stands in front of the cursor.
Windows:
- Find the Godord folder in File Explorer. Hold Shift, right-click the folder and choose "Copy as path".
- Open PowerShell. You find it by searching in the Start menu.
- Type
cdand a space, paste with Ctrl+V, and press Enter. The folder's name now stands in front of the cursor.
If the folder's name is not there, you are not in the folder, and none of the commands below work. On Windows you type firebase.cmd where it says firebase.
When you paste a command:
- Use the "Copy" button in the panel, and paste with Cmd+V (Ctrl+V on Windows).
- Do not click with the mouse wheel in the terminal window. It pastes whatever you last selected somewhere else.
- Paste one command and press Enter before you paste the next. Two commands on the same line become one.
- If the line looks wrong, clear it with Ctrl+U and paste again.
- If no output comes from a command that should have printed something, it did not run.
The terminal does not ask whether you are sure, and has no undo button. Read the line before you press Enter. If you get a message you do not recognise, see "Messages in the terminal" under "When something goes wrong".
Deploying again
The site on the web is a copy of the Godord folder. If you change something in the folder — a new share image — you must deploy it. The cards in Tools that make a command deploy by themselves.
- Open the terminal in the Godord folder.
- Type
firebase deploy --only hostingand press Enter. - When it says "Deploy complete!", the change is out. Open the site and reload the page with Cmd+Shift+R (Ctrl+Shift+R on Windows).
The rules are deployed with firebase deploy --only firestore, storage. You rarely need that: the card The editorial team does it itself.
The editorial team
There are three roles. Readers need none.
- Contributor writes drafts, but cannot publish or change anything that is published.
- Editor does everything editorial, including publishing.
- Administrator can in addition change the site's name and colophon, the rules and the Firebase setup — and take the site down.
Adding or removing someone:
- Go to the Tools tab and find the card "The editorial team".
- Type the address the person signs in with at Google. Not an alias.
- Choose Contributor, Editor, Administrator or Remove the role, and click "Create command".
- Click "Copy".
- Open the terminal in the Godord folder, paste the line and press Enter.
- The program shows what it will change and asks "Deploy now?". Answer
yand press Enter. If you are adding an administrator, you type the wordadministratorinstead.
When it says "The rules are deployed", the person has the role. It applies from the person's next sign-in.
Remove the role takes away the right to write. The person can still sign in and read like other signed-in users.
See who has roles: paste node rolle.mjs vis into the terminal in the Godord folder. The panel cannot show the list.
Only an administrator can add an administrator. The program tells you if you are not signed in in the terminal as an administrator, and the last administrator cannot be removed.
Unsure of the address? After the person's first sign-in it is in the Firebase Console under Authentication → Users.
Rows with an envelope mark in Users are readers who have signed in with a link by email, or accounts someone has created outside the site. They do not get into the editorial team. One you do not recognise, you can delete with "Delete account".
Shutting someone out completely:
- Open the Firebase Console and go to Authentication → Users.
- Find the person, open the menu on the row, and choose "Disable account".
Removing the role and closing the account are two different things. Without a role the person still gets in as a reader; a closed account does not get in at all. "Delete account" removes the account for good.
Sitemap
The sitemap is the list of the addresses on the site, for the search engines. The line above the button "Create sitemap" in Tools says whether the one that is live is correct. If it says it is not:
- Click "Create sitemap". The list is saved, and it says how many addresses it has.
- Click "Copy" under the line
node oppsett.mjs sitemap. - Open the terminal in the Godord folder.
- Paste the line and press Enter. The program writes the file
sitemap.xmland deploys by itself. - Reload the panel with Cmd+Shift+R (Ctrl+Shift+R on Windows). The line above the button should now say the sitemap is correct.
The share image and the share texts
When someone shares a link to the site, the card shows an image, the site's name and a sentence.
Changing the image:
- Make an image of 1200 × 630 pixels and call it
delingsbilde.png. - Put it in the folder
publicin the Godord folder. - Deploy again.
Changing the name or the sentence:
- Open the terminal in the Godord folder.
- Type
node oppsett.mjs endreand press Enter. - The program shows the name, the address and the sentence the site has now. Press Enter to keep, or type a new one. If you type a new name, the program shows old and new and asks whether you are sure — answer
y. - Answer
y. The program deploys by itself.
If you change the address, run node oppsett.mjs sitemap afterwards — the list does not need to be created again. The program tells you.
When the share card does not work
A shared link to an article shows the article's own image and title. A small program at Google does that. The button "Check the share card" in Tools asks the program, and answers with one of these:
| The answer begins with | It means | You do |
|---|---|---|
| "The program responds, and the card carries the article's own tags" | Everything works | Nothing |
| "The program is not responding" | Shared article links do not work for people outside | Open the terminal in the Godord folder, type node delingskort.mjs, and follow the program |
| "The program is responding, but the card falls back to the magazine's" | The program cannot read the article | Run node delingskort.mjs; it shows where the role Cloud Datastore Viewer is granted |
| "The reply came, but without the program's stamp" | The article links do not go to the program yet | Run node delingskort.mjs in the Godord folder. If that has been done, deploy the site again |
| "The program is responding. No published article in memory" | There is no published article to test with | Publish an article and check again |
Preparing the image store for import
"Import existing images" in Image catalogue reads files that are already in the image store. Google does not allow that until the store has a setting for it, a "CORS rule". Without it the import fails on every file. Ordinary uploading does not need it.
You set it once, in the browser:
- Go to
console.cloud.google.com, with the same account as in Firebase. - Click the icon
>_at the top right. The first time, click Authorize. A black field opens at the bottom. - Type this line, with your project ID in place of
YOUR-PROJECT, and press Enter:
gcloud config set project YOUR-PROJECT
It has worked when your project ID is in brackets before $.
- Paste this line as it is, and press Enter:
printf '[{"origin":["*"],"method":["GET"],"maxAgeSeconds":3600}]' > cors.json && B=gs://$(gcloud config get-value project).firebasestorage.app && echo "Setter CORS paa $B" && gsutil cors set cors.json $B && gsutil cors get $B
It has worked when the last line is [{"maxAgeSeconds": 3600, "method": ["GET"], "origin": ["*"]}]. Messages about "gcloud storage" can be ignored.
If you get stuck, take a picture of the black field and ask. Do not correct the long line yourself — press Ctrl+C and paste it in again.
Files in storage that are not in the panel
If an upload is interrupted, the file may be left in storage without appearing in the panel. The panel cannot see it or delete it. It is deleted in the Firebase Console, under Storage. It rarely happens.
When something goes wrong
Find the message you see in the tables below. There it says what it means, and what you do.
Three things apply to all messages:
- "Couldn't …" means that something was not fetched, not that it is empty. Usually it is the connection. What you already see on the screen stays.
- If a save goes wrong, the text you wrote stays, so you can try again. A selector you changed jumps back to what is actually saved.
- The search on the "All" page may say that it only covers titles, authors and categories. Then it could not fetch the article text. The note disappears by itself when the text arrives.
Messages in the panel and on the site
| You see | It means | You do |
|---|---|---|
| "Couldn't load the content — check your internet connection and reload the page." | The site could not fetch the articles. Usually it is the connection. | Check the connection and reload the page. If the message appears on all pages even when the connection works, the database or the rules are not in place — that is the owner's job: deploy the rules (see "Deploying again"). |
| "Couldn't load the content — the database is finishing a setup …" | The site is new, and the database is not quite ready. | Wait a few minutes and reload the page. |
| "Couldn’t load the content — the site has used up today’s free quota at Google …" (in the panel: "Couldn’t load the articles — today’s free quota …") | The site is on the free plan, and today’s cap on the database has been reached. It opens again tomorrow. | If you do not want to meet the cap again, choose Blaze: the card "Billing plan" (Lite) or "Storage and billing" under Tools says where. |
| "Your account does not have access to this." | Your role does not stretch to what you tried, or you are signed in with a different account than you think. | Check which account you are signed in with. The owner sees the roles with node rolle.mjs vis. |
| "The browser blocked the sign-in window. Allow pop-ups for this site and try again." | The browser stopped the sign-in window. | Allow pop-up windows for the site in the browser, and click "Sign in with Google" again. |
| "The link has expired or has already been used. Ask for a new one." | The link has been used before, or is too old. | Click "Send me a link" and use the new one. |
| "Couldn't send the link: …" | The link was not sent. | Check the address and the connection, and try again. If the message comes every time, tell whoever owns the site. |
| "Signing in with Google is not switched on for this site yet. …" | Google as a sign-in method is not switched on in the Firebase console. | Whoever owns the site switches it on: Firebase console → Authentication → Sign-in method → Google → Enable. The guide's step 3. |
| "Signing in with a link by email is not switched on for this site." | Signing in with a link is switched off for the site. | Tell whoever owns the site. The field is gone until it is switched on again. |
| "Signing out failed: … You are still signed in." | The sign-out did not go through. | Click "Sign out" again. |
| "Couldn't fetch the body text of '…'." | The text could not be fetched, and the article is not opened. | Try again when the connection works. |
| "Deleting failed: … Nothing has been removed — the article is untouched in the database." | The article was not deleted. | Try again. |
| "Saving failed: … The change is shown in the list, but has NOT been saved to the database. …" in Categories & tags | The change did not reach the database. If the message says "The categories were never loaded in this tab", the panel could not fetch the categories when the page was opened, and it saves nothing in the tab so as not to overwrite them. | If it says "never loaded", reload the page when the connection works, and make the change again. Otherwise the next save in the tab takes it along. |
| "Couldn't save the tag: … try again." | The new tag was not saved. What you typed stays. | If the message says "The categories were never loaded", reload the page when the connection works. Otherwise try again. |
| "The tag pool has not been loaded — …" in Image catalogue | The panel could not fetch the tags, and saves no new tag so as not to overwrite them. | Open the tab again when the connection works. |
| "Storage is not set up yet, so the file cannot be uploaded. …" | Storage at Google is not set up, so nothing can be uploaded. | Set it up following the card "Storage and billing" under Tools. Until then, the main image can be set with an address ("Paste image URL…"). |
| "Storage at Google did not answer. Is it set up, and is the billing plan in place? …" | The browser waited two minutes without an answer from storage. Either it is not set up, or the billing plan has lapsed — for example a trial account that was not made a paid one. | Open the card "Storage and billing" under Tools and follow the links. |
| "Couldn't convert the image: … Convert it by hand and upload it again." | The image could not be saved as webp, and has not been uploaded. | Save the image as JPEG or PNG in an image program and upload it again. |
| "ERROR: … - the record is still there. Run Delete again when the connection is back …" | The deletion of an image stopped halfway. The image is still in the catalogue. | Click "Delete" on the card again when the connection works. |
| "Done. Imported …, failed …: …" | Some files in the image store did not get cards in the catalogue. | Click "Import existing images" again. If all the files fail, the image store has not been prepared: see "Preparing the image store for import". |
| "The file type '…' is not accepted. Allowed types are …" | The file library only takes PDF, audio and video. | Images are uploaded in Image catalogue. Other files you save as PDF first. |
| "The ID '…' is already in use. …" | Another document in File library has this ID. | Choose another ID. If the file is to be replaced, see "Replacing a file" in "File library". |
| "… The file was left behind in Storage as '…' and must be removed in the Firebase Console." | The upload stopped, and the file is in storage without appearing in the panel. | See "Files in storage that are not in the panel". |
| "Couldn't check which articles link to '…'. …" | The panel could not count the links. Nothing has been deleted. | Try again when the connection works. |
| "The file has been deleted, but the record was left behind: …" | The file is gone, but the document is still in the list. | Click "Delete" again. |
| "Couldn't load the guestbook — check your connection, and that your account has access." | The list could not be fetched. | Check the connection and open the tab again. The tab is for editor and administrator; if you have another role, you do not get the list. |
| "The name was not corrected: …" or "The guest was not removed: …" | The change did not go through. Nothing has been changed. | Try again when the connection works. |
| "Couldn't copy automatically. The addresses: …" | The browser did not let the panel use the clipboard. | Select the addresses in the message and copy them yourself. |
| "Couldn't load the articles — check your connection and try again." or "Couldn't load the contributor register — …" in Maintenance | The view could not fetch what it needs. | Check the connection and click "↻ Refresh". |
| "Couldn't load the articles — check your connection and try again. No comparison has been made." in Tools | The check was not done, and nothing has been changed. | Check the connection and click "Check status mismatch" again. |
| "A contributor with this name already exists." | The name is taken. | Choose another name, or correct the one that exists. |
| "The address '…' is already in use by another contributor.", or "… is derived from the name and is already in use …" | Two contributors would have got the same author page. | Type a separate address in the Address field. |
| "Couldn't check the name against the database: …" or "Couldn't check the address against the database: …" | The panel could not check whether the name or the address is free. Nothing has been saved. | Check the connection and try again. |
| "The contributor was not saved: …" or "The entry was not removed: …" | The change did not go through. Nothing has been changed. | Try again when the connection works. |
| "Couldn't load the contributor register — check your connection and try again." in Contributors | The list could not be fetched. | Check the connection and reload the page. |
| Shared links to an article show the site's image, not the article's | The share card is not responding. | See "When the share card does not work". |
Messages in the terminal
| The terminal says | It means | You do |
|---|---|---|
| "Your credentials are no longer valid" or "Failed to authenticate" | The sign-in in the terminal has expired. It happens by itself after a while. | Type firebase login --reauth, press Enter, and sign in in the browser that opens. Then run the command again. |
| "Not in a Firebase app directory" | The terminal is not in the Godord folder. | See "Opening the terminal in the Godord folder". |
"no such file or directory" after cd |
The terminal did not find the folder. | Drag the folder into the window again (Mac), or copy the path again (Windows). |
| A line beginning with "Aborted:", from one of Godord's programs | The program stopped without changing anything. | The reason is on the same line. |
Shortcuts and small things worth knowing
Edit from the article. If you are signed in to the editorial team, the article shows "Edit". It opens the article in the editor. The contributor only sees it on articles that are not published.
Publish from the article. If you open a draft, "Publish" is shown next to it. The button is the editor's and the administrator's.
Every article has its own link. The address in the browser is the article's own. Copy it to share the article.
Browse between the articles. Every article shows "← Older" and "Newer →". They follow the date, like the front page. Drafts and archived articles are not included. The back button at the top takes you to the page you came from, however far you have browsed.
Special characters in addresses. The addresses are made without accented letters and characters such as &. "Food & drink" becomes food-drink.
Keeping two words together on the same line. If you want a name to stay together — a company name in the colophon, for example — use a non-breaking space: on a Mac you hold Option while pressing space.
